Work Placement at Ghent University: Administrative Formalities

If a student does a work placement at Ghent University,  they need to do the following paperwork:

  • a work placement contract (in Dutch): Ghent University students who embark on a curricular work placement at Ghent University use the same work placement contract as Ghent University students embarking on an external work placement.  Use the Legal Office web app to draw up the contract. Voluntary work placements come with a specific work placement contract available online, but not through the web application mentioned above;
  • an activity plan and a document outlining the rights and obligations should be attached to the work placement contract, insofar as they are not already incorporated in the contract;
  • a risk analysis: Ghent University is the work placement provider in these instances, and so the Ghent University work placement mentor fills in the risk analysis.  If necessary, Ghent University provides a job description form and medical supervision.  This may vary per faculty;
  • it is advisable that the trainee asks the work placement supervisor what the first aid procedures (where is the First Aid kit/the First Aid room, who is the First Aid co-ordinator), the safety and emergency procedures are before the actual start of the work placement.
